Bookings and deposits

In order to secure your place on either a holiday or a course you will have to send us an e-mail / booking form and pay for the course. If the event is more than 6 weeks away you may elect to pay a deposit rather than the full amount. Deposit amounts are as follows;

If the full course or holiday fee is under £150 we require a £50 deposit

If the full course or holiday fee is over £150 we require a £100 deposit

You can pay by cheque, payable to Lupine Adventure Co-operative and sent to our address at 16 Sholebroke Avenue, Leeds. LS7 3HB or by bank transfer. Bank details are available on request.

The balance of payment is due 42 days (or 6 weeks) before the start date of the holiday or course. If you book within that 42 day period then the full cost of the course or holiday is immediately due.

Please note that if you are taking advantage of an early payment offer then the full amount is due before the expiry of the early payment offer.

Cancellations and refunds

What follows is our official line and a worst case scenario.

  • Deposits are non-refundable.
  • Cancellations made within 42 days of the start date of the holiday / course result in the full payment being non-refundable.
  • Cancellations made more than 42 days before the start date of the holiday will result in the balance of payments being refunded if they were paid in advance. A portion of the deposit may still be held by Lupine Adventure to cover costs that we may have incurred, but usually we can return the full amount.

In practice we're not in the business of ripping anyone off. We understand that sometimes cancellations are unavoidable and we will always refund monies paid as fully as possible without leaving us out of pocket. If you were to pull out of a course the week before we will probably only be able to refund your money if we can replace you in that last week.

 

Cancellations by Lupine Adventure

Lupine Adventure Co-operative reserve the right to cancel holidays and courses at our discretion. If we are forced to do so we will work with you to attempt to find you a suitable replacement or if not we will refund all of your money. However, Lupine Adventure cannot be held responsible for any other loss that you may have incurred due to cancellation of your course or holiday. You are advised to take out holiday insurance if you wish to be covered for this potential loss.

We often have minimum numbers to satisfy on courses. Please do not book transport or accommodation until you have confirmed that we have filled the required number of spaces and that the course is definitely going ahead.

Safety on your Course or Holiday

Lupine Adventure Co-operative only hire qualified personnel whose ability we know first hand though working together 'on the hill'. All members hold current first aid certificates and will carry emergency equipment sufficient for the days activities. However, hill walking and rock climbing are not without a certain degree risk at their heart. Lupine Adventure Co-operative cannot be held responsible for circumstances outside of our control and participation is at the risk of the client.

Participants are required to bring personal walking equipment, some of this is essential safety equipment. If the Mountain Leader taking you walking that day is unhappy at the suitability of your personal equipment for that walk they reserve the right to refuse to take you onto the hill. There will be no monies refunded under those circumstances. Please feel free to discuss equipment concerns with us prior to your holiday or course, we will happily advise on purchases or bring spares that we hold if required.

You must inform us of any known medical conditions that may affect you during your holidays or course.

Under 18's

People under 18 are welcome on all of our activities. As the law stands, to work with young people requires an AALA licence for that activity if their legal parent or guardian is not present. We currently hold an AALA licence for single pitch rock climbing, hill walking, abseiling, ghyll scrambling and orienteering so for each of those activities we can take unaccompanied young people. Our AALA licence does not extend to winter walking, lead or multi pitch rock climbing or scrambling. We can take under 18's on those activities but we require their parent or guardian to be present at all times during the activity. Our licence is up for renewal in June 2010, we will consider adding some or all of those activities at that point.
